Chapter 3:
Manage Stakeholders

What is a stakeholder?

Stakeholders are individuals, groups or organisations that are directly or indirectly affected by the results of a project or that can influence the project. Stakeholders can include employees, customers, investors, suppliers, community members and even rival businesses. The success of a project largely depends on correctly understanding and managing the needs and expectations of stakeholders.

The Importance of Stakeholder Management

Stakeholder management is the process of ensuring stakeholder participation in a project and effectively managing relationships throughout the project. Effective stakeholder management facilitates the achievement of project objectives and reduces unexpected problems. In addition, stakeholder management promotes cooperation and support by increasing positive attitudes towards the project.

The advantages of stakeholder management are as follows:

  • Increased participation in the project

  • Prevention of potential conflicts

  • Clear and accurate management of expectations

  • Quick and effective resolution of issues that arise during the project

  • Increased overall satisfaction at the end of the project

Stakeholder Management Process

Stakeholder management consists of four basic stages:

1. Identification

You should start by identifying who your project stakeholders are. Stakeholders can be internal (employees, managers) or external (customers, suppliers, public institutions). Identifying stakeholders correctly directly affects the success of subsequent processes.

2. Analysis

Analyse the impact of the identified stakeholders on the project, their interests and their attitudes towards the project. During this process, it is important to clearly identify the stakeholders' supportive or opposing attitudes towards the project and their level of influence.

Stakeholder analysis typically focuses on the following factors:

  • The impact and importance of stakeholders on the project

  • The expectations of stakeholders from the project

  • Potential attitudes and interests regarding the project

3. Planning Communication

Determining how to communicate with stakeholders is an important step in stakeholder management. At this stage, you need to clarify what information will be communicated to which stakeholders, how often, and through which communication channels.

A well-designed communication plan should include:

  • Communication methods (face-to-face meetings, emails, reports, etc.)

  • Communication frequency (weekly, monthly, etc.)

  • Type and detail of information to be communicated

4. Ensuring and Managing Stakeholder Engagement

Actively involving stakeholders in the project and gaining their support increases the success of stakeholder management. You can use methods such as regular meetings, feedback sessions, and joint decision-making processes to engage stakeholders.

When managing stakeholders, pay attention to the following elements:

  • Value feedback from stakeholders and demonstrate this clearly.

  • Continuously review stakeholders' attitudes and expectations throughout the project process.

  • Identify potential conflicts early on and resolve them to maintain cooperation with stakeholders.

Tips for Successful Stakeholder Management

Here are some critical points to consider when managing stakeholders:

  • Maintain open, honest, and transparent communication with stakeholders at every stage of the project.

  • Clearly define each stakeholder's role and expectations in the project.

  • Involve your stakeholders in the project as early as possible and encourage their participation.

  • Frequently emphasise the importance of stakeholders' contributions to the project to increase their motivation.

  • Regularly update your stakeholder management plan and adapt it to changing conditions.

The Importance of Stakeholder Management for Small Businesses

Stakeholder management is particularly critical for small businesses because limited resources and time constraints make it beneficial for them to build supportive relationships in their projects. Effective stakeholder management helps small businesses manage their projects more smoothly, use resources more efficiently, and achieve their goals more easily.

The benefits of stakeholder management in small businesses include:
